This report analyzes 10 million cold emails across 500 B2B campaigns in 2024, revealing trends and best practices for maximizing deliverability. Key insights show that emails sent between 8–10 AM EST achieved 23% higher opens, personalized subject lines boosted open rates by up to 17%, and proper SPF, DKIM, and DMARC setup improved inbox placement by 31%, helping marketers optimize campaigns and engagement.
Methodology
This analysis is based on a dataset of 10 million emails sent across 500 B2B campaigns between January and December 2026. The study evaluated five major platforms: OutreachBox, Instantly.ai, Lemlist, Smartlead, and Reply.io. Key metrics analyzed included inbox placement, spam and bounce rates, as well as industry benchmarks for open, reply, and conversion rates. Additionally, technical factors such as SPF, DKIM, DMARC setup, domain age, and sending volume were examined, along with content factors like subject lines, personalization, links, and images. All data was normalized to account for differences in campaign size, audience segmentation, and sending volume to ensure fair and accurate comparisons.
Part 1: Deliverability by Platform
OutreachBox led with 94% inbox placement and just 4% spam, while Instantly.ai, Lemlist, Smartlead, and Reply.io showed slightly lower inbox rates. Lemlist excelled for personalized campaigns, Smartlead offered balanced performance, and Reply.io had the highest spam rate at 9%.
Part 2: Industry Benchmarks
Average open, reply, and conversion rates were 42%, 8.3%, and 2.1%, slightly above Mailchimp and Campaign Monitor 2024 benchmarks. B2B SaaS leads performed best, while manufacturing leads showed lower opens.
Part 3: Technical Factors
Proper SPF, DKIM, and DMARC setup boosted inbox placement by 31%, and warm-up protocols improved deliverability. Older domains performed better, while exceeding sending volumes triggered spam flags.
Part 4: Content Analysis
Subject lines of 6–10 words achieved the highest opens, and personalization increased open rates by up to 17%. Emails with 1–2 links scored lower for spam, while heavy image use increased spam placement.
Part 5: Timing Analysis
Emails sent Tuesday–Thursday between 8–10 AM had the best open rates. Following up 2–3 times maximized replies without hurting deliverability.
Part 6: 2026 Predictions
AI-driven spam filters will become more sophisticated, challenging deliverability. Wider BIMI adoption and global privacy regulations may affect brand trust and sending strategies.
In summary, 2025’s data highlights that optimizing timing, personalization, technical setup, and content are key to maximizing cold email deliverability. With platforms like OutreachBox leading the way in inbox placement and emerging trends such as AI-driven spam filters and BIMI adoption, marketers who follow these best practices can achieve higher engagement, stronger brand trust, and improved campaign results.
